These Terms & Conditions (“Terms”) govern your use of the Alpine Co-Hosts websites, booking services, vacation rental properties, and related guest services.
These Terms apply to **AlpineCoHosts.com**, **book.alpinecohosts.com**, and other booking pages or services operated on behalf of Alpine Co-Hosts (“Alpine Co-Hosts,” “we,” “us,” or “our”).
By using our website, submitting a reservation, making a payment, or occupying a property managed by Alpine Co-Hosts, you agree to these Terms together with any property-specific rental agreement, cancellation policy, house rules, and other terms presented during the booking process.
1. Vacation Rental Reservations
Alpine Co-Hosts provides booking and guest services for privately owned vacation rental properties.
All reservations are subject to:
* Property availability
* Applicable nightly rates
* Taxes and fees
* Occupancy limitations
* Minimum-stay requirements
* Property-specific rules
* Payment requirements
* Cancellation policies
* Applicable laws and regulations
* Any separate vacation rental agreement presented during booking
A reservation is not considered confirmed until all required booking information and required payments have been received and Alpine Co-Hosts or its booking system issues a reservation confirmation.
2. Guest Eligibility
The person making the reservation must have the legal authority to enter into a binding agreement.
Certain properties may have additional minimum-age requirements. Any property-specific minimum age disclosed in the listing, rental agreement, or booking process will apply.
The individual making the reservation is considered the primary guest and is responsible for the conduct of all occupants, visitors, and invitees associated with the reservation.
Reservations made using false, misleading, fraudulent, or unauthorized information may be canceled.
3. Rates, Taxes and Fees
Rates shown on the website may vary according to:
* Property
* Dates
* Season
* Length of stay
* Occupancy
* Availability
* Special events
* Demand
* Promotional offers
The final price presented before booking may include applicable taxes and additional fees such as cleaning fees, pet fees, resort fees, processing fees, service fees, or other property-specific charges.
The total price displayed during the final booking process controls over estimated or previously displayed pricing.
Alpine Co-Hosts reserves the right to correct obvious pricing, tax, availability, or system errors before a reservation is confirmed.
4. Payment
The payment schedule applicable to your reservation will be displayed during booking or included in your reservation agreement or confirmation.
By providing a payment method, you authorize Alpine Co-Hosts and its authorized payment providers to charge amounts due under your reservation, including authorized deposits, scheduled payments, and other charges permitted by these Terms or your rental agreement.
If a scheduled payment cannot be processed, Alpine Co-Hosts may contact the primary guest for an alternative payment method.
Failure to make a required payment may result in cancellation of the reservation subject to the applicable cancellation policy.
5. Cancellation and Refunds
Cancellation policies may vary by property, reservation dates, rate plan, promotional offer, or booking channel.
**The cancellation policy presented to you when you make your reservation is incorporated into these Terms and controls your reservation.**
Guests are responsible for reviewing the applicable cancellation policy before completing a booking.
Unless otherwise stated in the applicable cancellation policy or required by law:
* Cancellations outside the permitted refund period may be non-refundable.
* Changes to reservation dates may be treated as a cancellation and rebooking.
* Early departure does not automatically entitle a guest to a refund.
* Failure to arrive does not automatically entitle a guest to a refund.
* Weather, travel delays, road conditions, flight cancellations, illness, ski conditions, and changes in personal circumstances do not automatically override the applicable cancellation policy.
Alpine Co-Hosts strongly recommends that guests consider purchasing appropriate travel insurance for circumstances that may affect a trip.
6. Changes to a Reservation
Requests to change reservation dates, occupancy, pets, or other reservation details are subject to availability and approval.
A change may result in different nightly rates, taxes, fees, minimum-stay requirements, or other conditions.
Alpine Co-Hosts is not obligated to approve a requested reservation change.
7. Check-In and Check-Out
Check-in and check-out times will be provided in the property listing, reservation confirmation, rental agreement, or pre-arrival communications.
Guests may not enter or occupy a property before the authorized check-in time unless Alpine Co-Hosts has provided prior approval.
Guests must vacate the property by the required check-out time.
Unauthorized early arrivals or late departures may result in additional charges when they interfere with housekeeping, maintenance, incoming reservations, or property operations.
8. Occupancy
Only the number of guests permitted by the reservation and the property's maximum occupancy may stay overnight at the property.
The primary guest is responsible for ensuring that all occupants comply with these Terms and all property-specific rules.
Unauthorized occupancy may result in additional fees, termination of the stay, or other remedies permitted by the applicable rental agreement or law.
9. Property Rules
Each vacation rental is privately owned and may have individual house rules.
Property rules may address issues including:
* Maximum occupancy
* Parking
* Pets
* Smoking
* Noise
* Outdoor spaces
* Hot tubs
* Fireplaces
* Grills
* Ski equipment
* Trash and recycling
* Events and gatherings
* HOA requirements
* Building rules
* Check-in and check-out procedures
Guests agree to review and follow all property-specific instructions and rules provided before or during the stay.
10. No Parties or Unauthorized Events
Unless expressly approved in writing by Alpine Co-Hosts and the property owner, vacation rental properties may not be used for parties, receptions, commercial events, large gatherings, weddings, or other events exceeding normal residential use or the approved occupancy.
Unauthorized events may result in termination of the reservation, additional cleaning or damage charges, and other remedies permitted by law or the applicable rental agreement.
11. Noise and Neighbor Consideration
Guests are expected to respect neighboring properties and comply with applicable Town of Vail, Eagle County, HOA, condominium, and community rules regarding noise and conduct.
Excessive noise, disruptive conduct, nuisance behavior, or repeated complaints may result in corrective action or termination of the stay where appropriate.
12. Smoking and Vaping
Smoking or vaping is prohibited inside a property unless the property listing or rental agreement expressly states otherwise.
Guests may be responsible for additional cleaning, odor remediation, repairs, or other costs resulting from violation of a property's smoking policy.
13. Pets and Animals
Pets are permitted only at properties identified as pet-friendly and only when included in or approved as part of the reservation.
Applicable pet fees and property-specific pet rules must be followed.
Guests are responsible for damage, excessive cleaning, waste removal, or other costs caused by an animal associated with their reservation.
Nothing in this provision is intended to restrict rights relating to service animals as required by applicable law.
14. Property Condition
Guests should notify Alpine Co-Hosts promptly after arrival if they discover a significant cleanliness, maintenance, safety, or property-condition issue.
Providing prompt notice gives Alpine Co-Hosts a reasonable opportunity to evaluate and address the issue.
Vacation rental properties are individually owned residences. Furnishings, décor, appliances, amenities, and other items may occasionally be repaired, replaced, or changed.
Alpine Co-Hosts makes reasonable efforts to maintain accurate property descriptions and photographs but does not guarantee that every decorative item, furnishing, or minor feature will be identical to website photographs at the time of a stay.
15. Maintenance and Access
Alpine Co-Hosts, property owners, maintenance providers, housekeeping personnel, or authorized contractors may need to enter a property during a guest's stay when reasonably necessary for:
* Emergency response
* Safety concerns
* Required repairs
* Maintenance
* Property protection
* Investigation of reported problems
* Compliance with applicable laws or property requirements
When circumstances permit, reasonable efforts will be made to notify the guest before non-emergency entry.
16. Damage to Property
Guests are responsible for damage caused by the primary guest, occupants, visitors, invitees, or animals associated with their reservation, except for ordinary wear and tear.
Guests should promptly report accidental damage.
Where permitted by the rental agreement and applicable law, guests may be charged for:
* Repair or replacement of damaged property
* Missing items
* Excessive cleaning
* Unauthorized pets
* Smoking remediation
* Damage to furniture or fixtures
* Damage caused by misuse of amenities
* Lost keys or access devices
* Unauthorized occupancy
* Other costs resulting from violations of applicable property rules
Documentation may include photographs, invoices, repair estimates, receipts, inspection reports, or other reasonable evidence.
17. Security Deposits and Damage Protection
Certain reservations may require a security deposit, damage waiver, damage protection program, or other security arrangement.
Any applicable requirement will be disclosed during booking or in the rental agreement.
The existence of a security deposit or damage protection program does not eliminate a guest's responsibility for damages or charges exceeding the amount covered.
18. Lost or Stolen Property
Guests are responsible for their personal belongings.
Alpine Co-Hosts is not responsible for personal property that is lost, stolen, misplaced, damaged, or left behind except to the extent responsibility cannot legally be excluded.
If an item is located after departure, Alpine Co-Hosts may attempt to assist with its return. Guests may be responsible for shipping, handling, packaging, or administrative costs associated with returning an item.
19. Parking and Vehicles
Guests must follow all property-specific parking rules, HOA regulations, posted restrictions, and local laws.
Alpine Co-Hosts is not responsible for parking citations, towing, damage, theft, weather-related conditions, or other vehicle-related losses except to the extent required by law.
20. Mountain and Weather Conditions
Vail and the surrounding Colorado mountains experience rapidly changing weather and seasonal conditions.
Guests are responsible for evaluating travel conditions and preparing appropriately for mountain travel.
Conditions may include:
* Snow and ice
* Winter storms
* Mountain road closures
* Altitude-related effects
* Wildlife
* Slippery exterior surfaces
* Snow or ice falling from roofs
* Variable ski conditions
* Wildfire or smoke conditions
* Seasonal transportation delays
Alpine Co-Hosts does not control weather, airline schedules, road conditions, resort operations, ski conditions, lift operations, or other circumstances beyond its reasonable control.
Guests are encouraged to obtain appropriate travel insurance.
21. Amenities
Amenities such as hot tubs, fireplaces, internet service, televisions, appliances, heating systems, air conditioning, elevators, ski access, community facilities, pools, and other equipment may occasionally experience temporary outages or maintenance needs.
Alpine Co-Hosts will make reasonable efforts to address reported issues but cannot guarantee uninterrupted availability of every amenity.
Unless otherwise required by law or specifically stated in the applicable rental agreement, temporary failure of an amenity does not automatically entitle a guest to a refund.
22. Internet and Technology
Wireless internet, smart televisions, streaming services, electronic locks, and other technology may be available at certain properties.
Internet speeds and availability depend on third-party service providers, equipment, weather, network traffic, property location, and other factors outside Alpine Co-Hosts' direct control.
Guests may not use a property's internet connection for unlawful activity.
23. Concierge and Third-Party Services
Alpine Co-Hosts may help guests arrange or locate services offered by independent third parties, such as:
* Transportation
* Ski or snowboard rentals
* Bike rentals
* Private chefs
* Grocery delivery
* Spa services
* Childcare
* Activities
* Tours
* Restaurants
* Equipment rentals
Unless specifically stated otherwise, these providers are independent businesses and are not employees or agents of Alpine Co-Hosts.
Their services may be subject to separate prices, contracts, cancellation policies, waivers, and terms.
Alpine Co-Hosts is not responsible for the acts, omissions, availability, performance, or products of independent third-party providers except as required by applicable law.
24. Personal Safety and Assumption of Risk
Guests are responsible for using reasonable care while occupying a vacation rental and participating in recreational activities.
Mountain travel and activities such as skiing, snowboarding, hiking, biking, swimming, hot tub use, and other outdoor recreation involve inherent risks.
Guests are responsible for evaluating whether activities are suitable for themselves and members of their traveling party.
Nothing in these Terms waives liability that cannot legally be waived under applicable law.
25. Emergency Situations
For emergencies involving immediate threats to life, health, safety, fire, or criminal activity, guests should contact **911** or the appropriate emergency authority first.
Guests should then notify Alpine Co-Hosts as soon as reasonably practical.
26. Circumstances Beyond Our Control
Alpine Co-Hosts will not be responsible for delays, interruptions, or inability to perform obligations caused by circumstances outside its reasonable control, which may include severe weather, natural disasters, wildfire, government actions, utility failures, labor disruptions, transportation interruptions, telecommunications failures, public emergencies, or similar circumstances.
When such circumstances affect a reservation, any refund, credit, relocation, or cancellation will be determined according to the applicable rental agreement, cancellation policy, applicable law, and circumstances of the event.
27. Property Substitution
In the uncommon event that a reserved property becomes unavailable because of significant damage, safety concerns, maintenance issues, sale of the property, government action, or another circumstance preventing occupancy, Alpine Co-Hosts may attempt to offer a reasonably comparable alternative property when available.
If an acceptable substitute cannot reasonably be provided, Alpine Co-Hosts may cancel the reservation and refund amounts paid for the unavailable accommodation as appropriate under the applicable agreement.
28. No Tenancy or Permanent Residence
Vacation rental occupancy is temporary lodging for the dates stated in the reservation.
A reservation does not create a landlord-tenant relationship, leasehold interest, or right to occupy the property beyond the confirmed reservation period except where applicable law provides otherwise.
29. Website Content
Website content, photographs, property descriptions, logos, graphics, videos, text, and other materials are owned by or licensed to Alpine Co-Hosts or the applicable property owner and are protected by applicable intellectual property laws.
Website content may not be copied, reproduced, republished, distributed, or commercially exploited without appropriate authorization.
30. Website Availability
We make reasonable efforts to keep our websites and booking system available and accurate.
However, we do not guarantee uninterrupted access, error-free operation, or continuous availability.
Website availability may be interrupted for maintenance, updates, technical failures, third-party service interruptions, or circumstances outside our control.
31. Prohibited Website Use
You may not use our websites or booking services to:
* Engage in fraudulent activity
* Make unauthorized or deceptive reservations
* Attempt to gain unauthorized access to systems or accounts
* Introduce malware or harmful code
* Interfere with website operation
* Scrape or harvest information in violation of applicable law
* Impersonate another person
* Use another person's payment information without authorization
* Engage in unlawful activity
32. Disclaimer of Warranties
To the maximum extent permitted by applicable law, the website and related online services are provided on an “as available” basis.
Alpine Co-Hosts does not make warranties regarding uninterrupted website availability, error-free operation, third-party services, weather conditions, recreational conditions, or circumstances outside its reasonable control.
This provision does not limit any warranty or legal right that cannot lawfully be excluded.
33. Limitation of Liability
To the maximum extent permitted by applicable law, Alpine Co-Hosts will not be liable for indirect, incidental, special, consequential, or punitive damages arising from use of the website, a reservation, third-party services, or circumstances outside Alpine Co-Hosts' reasonable control.
Nothing in these Terms excludes or limits liability where such exclusion or limitation is prohibited by law.
Property-specific rental agreements may contain additional provisions concerning liability and guest responsibilities.
34. Indemnification
To the extent permitted by applicable law, you agree to be responsible for claims, losses, damages, or expenses resulting from your material violation of these Terms, violation of property rules, unlawful conduct, or damage caused by you or individuals for whom you are responsible.
35. Governing Law
These Terms are governed by the laws of the State of Colorado, without regard to conflict-of-laws principles, except where another law is required to apply.
Subject to any mandatory legal requirements, disputes arising from these Terms or a direct reservation with Alpine Co-Hosts may be brought in the appropriate state or federal court having jurisdiction in or over Eagle County, Colorado.
36. Conflicts Between Agreements
A reservation may also be governed by:
* A property-specific rental agreement
* A booking confirmation
* House rules
* A cancellation policy
* Terms imposed by a third-party booking platform
If a property-specific rental agreement contains a provision that conflicts with these general Terms regarding the reservation, the more specific provision applicable to that reservation will control to the extent of the conflict.
37. Severability
If any provision of these Terms is determined to be invalid or unenforceable, the remaining provisions will remain in effect to the maximum extent permitted by law.
38. No Waiver
Failure by Alpine Co-Hosts to enforce a provision of these Terms on one occasion does not waive the right to enforce that provision in the future.
39. Changes to These Terms
Alpine Co-Hosts may update these Terms periodically.
The version applicable to a reservation will generally be the version in effect when the reservation is made, together with the rental agreement and cancellation policy accepted for that reservation.
Updates applying to general website use become effective when posted unless otherwise stated.
